When do we collect information?
We will collect personal information from you when:
- you sign up to our e-newsletter
- you enquire about our activities, services and job vacancies via direct emails, web forms or phone conversations
- you audition as a musician for an EUYO project
- you take part as a musician in an EUYO project
- you contact us with any other enquiries.
What personal information do we collect, and how do we use this information?
The type of information we collect varies depending on how you decide to interact with us. We only collect the information that is necessary for us to carry out our activity, provide a particular service, or to keep you informed as requested.
When you sign up to receive our newsletter, the EUYO will hold the following information that you provide:
- Email address.
This information will be held in order to contact you with updates and promotional information about the EUYO and its activities.
When you enquire about our projects, job vacancies or with any other general enquiries, the EUYO may hold:
- Date of birth
- Home and/or work address
- Email address
- Telephone number
- Mobile phone number
- Your opinion about an event, product or service.
We will only collect the kind of information necessary to respond appropriately and effectively to such correspondence. Neither the personal information that you provide, nor the nature or content of any correspondence will be shared elsewhere without your prior consent.
When you audition for a EUYO project as a player, the EUYO may hold the following information that you provide:
- Date of birth
- Home address and country of residence
- Instrument(s) played
- Current/former place of study
- Educational background.
When you take part as a player, and during the subsequent period when you are likely to be asked to again take part as a player, in a EUYO project, the EUYO may hold the following additional information:
- Passport/national identity information
- Dietary and medical information
- Family/emergency contact details.
We retain certain kinds of information on our “alumni” (defined as anyone who has previously taken part in a EUYO project as a player) for archival, accountability and research purposes. This is likely to consist of:
- Up to date contact details
- A record of participation in previous EUYO performances, including nationality, educational background and position held in the EUYO.
We will never share personal information on applicants, players or alumni without prior consent. Any information shared externally for archival, accountability or research purposes will be fully anonymized.
You should find it easy to access and amend the personal information that we hold on you, or request that we stop contacting you.
If you no longer wish to receive our newsletter, you can unsubscribe at any time by clicking the unsubscribe link in the footer of any edition of the newsletter, or by contacting EUYO Communications Office, Rebecca Humphrey at email@example.com
Similarly, you can request to view any personal information that we hold on you at any time by phoning, emailing or writing using our contact details below.
How do we keep your personal information safe?
The European Union Youth Orchestra is committed to protecting the personal information you entrust to us. We adopt robust and appropriate technologies and policies, so the information we collect is protected from unauthorized access and improper use.
Changes to this policy
This notice was updated on 24th May 2018. It may be updated at any time to take into account changes at the European Union Youth Orchestra, or to reflect changes to regulation or legislation. Please check back from time to time.
Where appropriate, we may notify you of any changes where we hold an appropriate email address for you.
